Privacy Policy

Who this covers

• Club administrators who sign up for and use the Apex dashboard.
• Club members and contacts whose details a club stores in Apex (for example, a newsletter list). The club decides what it collects and is responsible for it; we process it on the club's behalf.
• Visitors to apexsites.club and to club websites on apexsites.io.

Information we collect

• Account information: name, email address, club name and sign-in details for dashboard users.
• Club content: events, news, pages, images, email campaigns, sponsor information and anything else a club creates or uploads.
• Contact lists: names, email addresses and related details a club imports or collects through its forms, plus email delivery, open and unsubscribe status.
• Billing information: handled by Stripe. We never see or store full card numbers.
• Usage and device data: basic logs (IP address, browser, pages visited) used to run and secure the service, and advertising measurement on apexsites.club through the Meta Pixel.
• Connected accounts: see “Facebook and other social accounts” below.

Facebook and other social accounts

A club administrator can choose to connect a Facebook Page so Apex can publish posts the club writes and approves. When you connect, Facebook asks you to grant specific permissions, and we receive only what you approve:

• your Facebook user ID and name (public profile);
• the list of Pages you manage, so you can choose which one to connect;
• an access token for the Page you select;
• basic information about posts Apex publishes, such as post IDs and engagement.

We use this information only to publish and schedule the posts your club creates in Apex and to show you their status. We do not read your personal timeline, messages or friends, we do not sell or share Facebook data, and we do not use it for advertising or profiling. Tokens are stored on our servers, are never sent to your browser, and are deleted when you disconnect the Page or delete your account.

You can disconnect at any time in the Apex dashboard under Setup → Connectors, or remove Apex from your Facebook settings (Settings & privacy → Business Integrations). See our data deletion instructions.

How we use information

• to provide the service: host club websites, send club emails, publish social posts;
• to run AI features the club uses, such as drafting posts and generating images;
• to bill for subscriptions and prevent fraud and abuse;
• to support you and to tell you about important changes to the service;
• to measure and improve our own marketing on apexsites.club.

We do not sell personal information.

Service providers

We share information only with providers that help us run Apex, under agreements that limit their use of it:

• Amazon Web Services: hosting and email delivery;
• Supabase: database, authentication and file storage;
• Resend: transactional and account email;
• Stripe: payments;
• Anthropic, OpenAI and fal.ai: AI text and image generation for features a club uses;
• Cloudflare: bot protection on sign-up forms;
• Meta: publishing to Pages a club connects, and ad measurement on apexsites.club;
• Buffer, Dropbox and domain registrars, only when a club connects them.

We may also disclose information if required by law or to protect the rights and safety of our users or the public.

Retention and security

We keep information for as long as the club's account is active and delete it within 30 days after an account is closed, except where we must keep records (such as billing) by law. Data is encrypted in transit and at rest by our hosting providers, and access is limited to the systems and staff that need it.

Your choices and rights

• Unsubscribe from any club email using the link at the bottom of the email.
• Club members should contact their club to access, correct or delete their details.
• Club administrators can edit or export their data in the dashboard, or ask us to delete their account.
• Depending on where you live, you may have additional rights to access, correct, delete or port your information. Email us and we will respond within 30 days.

Children

Apex is not directed at children under 13 and we do not knowingly collect their information.
